Job Description

Reporting to the Head of Base Maintenance, the Technical Stores Officer is responsible for the procurement, receipt, storage, inventory control, and issuance of aircraft spare parts, materials, and services required to support aircraft maintenance operations. The role ensures timely availability of materials, maintains accurate inventory records, and upholds compliance with company policies, regulatory requirements, and aviation industry standards.

Key Responsibilities

  1. Receive, inspect, store, and issue aircraft parts and materials in accordance with company procedures and aviation standards.
  2. Verify all incoming and outgoing materials that are supported by the required airworthiness and regulatory documentation, maintain full traceability of inventory, ensure compliance with company procedures and aviation regulatory requirements.
  3. Maintain accurate inventory records and ensure all stock transactions are promptly recorded in the inventory management system.
  4. Ensure all inventory is correctly identified, labelled, segregated, and stored to preserve airworthiness, traceability, and serviceability.
  5. Package, store, handle, and dispatch aircraft parts, components, engines, and cores in accordance with approved procedures and manufacturer requirements.
  6. Monitor stock levels and maintain adequate inventory of critical aircraft parts and materials to support maintenance operations, minimize aircraft downtime, and prevent shortages.
  7. Entering & updating data/information into the inventory control system to ensure accurate stock levels.
  8. Advise the Head of Base Maintenance on stock status, reorder levels, and procurement requirements.
  9. Ensure that all items are stored correctly to prevent damage or deterioration.
  10. Conduct periodic stock counts and inventory reconciliations, investigate and report any variances/discrepancies.
  11. Maintain accurate inventory records and ensure all transactions are correctly recorded in the stores management system.
  12. Manage shelf-life-controlled and time-expired items using the First Expiry, First Out (FEFO) principle and ensure expired stock is quarantined and disposed of in accordance with regulatory and environmental requirements.
  13. Ensure expired items are promptly removed from stock and disposed of according to regulatory and environmental guidelines.
  14. Maintain a clean, organized, secure, and compliant storage environment.
  15. Support maintenance operations through the timely issuance of parts and materials to maintenance personnel, ensuring accuracy, traceability, and proper documentation.
  16. Communicate material shortages, stock discrepancies, delayed deliveries, or other issues that may affect aircraft maintenance schedules.
  17. Maintain proper hazardous material storage and control in accordance with safety and environmental requirements.
  18. Participate in inspections/internal and external audits and implement any corrective actions, and/or process improvement initiatives.
  19. Identify areas for improvement and cost-cutting initiatives in technical stores management processes.
  20. Assist with the packaging, shipment, storage, and handling of aircraft parts, components, and cores.
  21. Perform any other duties that shall be assigned by the Head of Base Maintenance.
  22. Implement the system for the calibration of tools and equipment used for inspection and testing to ensure it is performed to an adequate standard and on a regular basis in accordance with the provisions of the MPM.
  23. Ensure all tools and test equipment used for working on the operator’s aircraft are regularly inspected and calibrated as needed.
  24. Ensure all hangar and shop equipment and tools are in serviceable working condition.
  25. Ensure all tools, equipment, materials, and facilities used in the workshop are adequate, appropriate, well maintained, and calibrated for the planned work.
  26. Ensure all tools and equipment are in working order and with current calibration, where applicable.
  27. Arrange for repair or replacement of defective tools and equipment.
  28. Carry out daily tool checks on general Toolbox when tools are used during maintenance actions and ensure the Toolbox inventory is always current.
  29. Ensure all tools used are returned to the Technical Tool Store at the end of each shift.
  30. Issue materials and tools to maintenance personnel based on approved work orders.

Requirements

  1. Diploma or Degree in Aeronautical Engineering, Supply Chain Management, Logistics, Business Administration, or related field.
  2. Minimum of three (3) years’ work experience in aviation stores operations, inventory and warehouse management, material planning and stock control.
  3. Demonstrated knowledge of aircraft parts, tools, Ground Support Equipment (GSE), consumables, and applicable KCAA regulatory documentation requirements.
  4. Experience working with Enterprise Resource Planning (ERP) systems and or Inventory Management systems.
  5. Good communication and interpersonal skills, with the ability to engage effectively with both internal and external stakeholders.
  6. Excellent organizational, planning and multitasking abilities as well as the capacity to manage competing priorities and meet deadlines.
  7. Strong analytical, reporting and problem-solving skills, with high level of accuracy and attention to detail.
  8. Sound knowledge of inventory control principles and stock management practices.
  9. Good negotiation and supplier relationship management skills.
  10. Good decision-making skills, with the ability to resolve operational issues effectively and efficiently.
  11. Ability to work independently with minimum supervision, as well work effectively a team environment.
  12. Ability to safely lift, handle and move inventory safely as per provided safety procedures.
  13. Proficiency in MS Office applications and inventory management systems.
  14. Hands-on aircraft maintenance experience will be an added advantage.
