Procurement Assistant

Royal Mabati Factory Limited is a manufacturing company founded in 2005, based in Nairobi, Kenya.

The Procurement Assistant supports day-to-day procurement operations by assisting in sourcing, order processing, documentation, and supplier follow-up. The role ensures timely availability of materials, accuracy in procurement records, and compliance with procurement procedures to support smooth operational performance.

1. Assist in preparing procurement plans and schedules based on departmental needs.
2. Gather market information, quotations, and supplier data when required.
3. Support compliance with company policies and procurement guidelines.
4. Assist in identifying and updating lists of approved suppliers.
5. Request for quotations (RFQs) and compile price comparisons.
6. Follow up with suppliers on deliveries, invoices, and documentation.
7. Receive and verify requisitions from user departments.
8. Prepare draft purchase orders (POS) for review and approval.
9. Assist in collecting cost data for budgeting and reporting.
10. Help identify cost-saving opportunities (discounts, consolidated orders).
11. Maintain accurate procurement files and records (RFQS, POS, invoices, delivery notes).
12. Ensure all documents meet audit and compliance requirements.
13. Support supplier due diligence documentation.

1. Diploma or degree in Procurement, Supply Chain, Business Administration, or related field.
2. Professional certification (KISM, CIPS) is an added advantage.
3. 1-2 years’ experience in procurement or supply chain (internship included).
4. Basic knowledge of procurement processes and ERP systems.
5. Strong communication and negotiation support skills.
6. Good analytical ability and attention to detail.
