Job Description
The role involves coordinating comprehensive travel arrangements for Church employees, missionaries, General Authorities, and other representatives worldwide. This includes securing reservations for air, rail, rental cars, and hotels, as well as managing visa acquisition. The coordinator will regularly interact with travelers and internal partners, resolving complex travel and documentation issues professionally to ensure smooth journeys. Staying informed about travel industry changes and trends is crucial. The position may also involve training junior staff and undertaking special assignments.
Key Responsibilities
- Plan cost-efficient travel itineraries, providing various options and associated costs.
- Manage bookings for airlines, hotels, trains, and automobiles using reservation systems, the internet, or direct vendor contact.
- Prepare detailed itineraries, including restrictions and other helpful information for travelers.
- Ensure the correct visas are obtained and documents are accurately audited.
- Adhere to accounting guidelines for invoicing, payments, and billing of all transactions.
- Prepare check requisitions for accounting processing.
- Assist the supervisor in training and coaching other travel coordinators.
- Undertake special projects or team assignments as required.
- Communicate regularly with consulates, potentially arranging personal visits for travelers.
- Support vendor relationship management.
- Coordinate special events such as mission president seminars, area council meetings, and area reviews.
Requirements
- Bachelor's degree combined with at least three years of experience in the travel industry, or an equivalent combination of education and experience.
- Three or more years of experience in Church travel services is preferred.
- Demonstrated professional and clear verbal and written communication skills.
- Excellent customer service abilities, particularly in resolving difficult travel issues.
- Proficiency in Microsoft applications.
- Ability to successfully train, motivate, and lead others.
- Capacity to maintain a high rate of efficiency and manage a large workload, including special projects.
- Proactive in identifying process improvement opportunities and leading change initiatives.
- Availability to support after-hours phone calls when applicable.
- Serves as a role model for professional behavior and excellent performance among Travel Coordinators.
- Travel University specialist certification (or country equivalent) is highly preferred.
