Job Description

The Executive Assistant's primary objective is to offer comprehensive support to client-facing personnel and partners, especially when facing tight deadlines and competing priorities. By fostering professional and ethical relationships with senior PwC staff and client executives, this position helps uphold a positive brand image for the office. This crucial support enables leaders to concentrate on strategic tasks, thereby boosting overall productivity within the firm.

Key Responsibilities

  1. Manage calendars for partners and associate directors according to their preferences.
  2. Plan and arrange internal and external meetings and events, ensuring smooth logistics and communication.
  3. Handle financial tasks including accounting for advances, submitting timesheets, managing expenses, raising and dispatching fee notes, creating suppliers, and processing LPOs.
  4. Prepare proposals and reports by gathering necessary documents, ensuring correct branding with CMD, and coordinating timely dispatch.
  5. Facilitate timely information flow, review and screen correspondence while maintaining confidentiality, and properly file documents.
  6. Coordinate travel for business unit staff, including visa processing, flight and hotel bookings, itinerary preparation, processing travel advances, and arranging transfers.
  7. Organize refresher training on risk management and prepare annual invoice schedules for payment review.
  8. Schedule internal training sessions for Learning and Education programs.
  9. Efficiently manage budgets and plan engaging events such as away days, client breakfasts, and cocktail receptions.

Requirements

  1. Bachelor’s degree in Business Administration, Secretarial studies, or any other discipline.
  2. Certificate in Project Management is an added advantage.
  3. Minimum of 2 years of relevant administrative experience in a fast-paced environment.
  4. Experience in general business operations.
  5. Understanding of management principles and office procedures.
  6. Strong knowledge of office administration processes, procedures, systems, and tools.
  7. Strong knowledge of the business.
  8. Proficiency in calendar management, project management, and data management.
  9. Ability to maintain confidentiality.
  10. Excellent time management and attention to detail/meticulousness.
  11. Strong problem-solving and critical thinking abilities.
  12. High level of professionalism and interpersonal skills.
  13. Ability to prioritize tasks.
  14. Proactive and flexible approach.
