The Projects Assistant at AGC Tenwek Hospital will play a crucial role in supporting project management functions. This includes assisting with the development and maintenance of project schedules, work plans, and trackers, as well as coordinating meetings and various project engagements. The assistant will also be responsible for following up on assigned actions, maintaining activity calendars, and facilitating communication between internal departments and external partners to ensure smooth project execution. Key duties also involve supporting procurement processes, managing project risks, and ensuring compliance with project standards and audit requirements.
Key Responsibilities
- Assist in planning, coordinating, and implementing project activities according to approved plans.
- Support the Project Officer in developing and maintaining project schedules, work plans, and trackers.
- Coordinate meetings, workshops, and other project engagements.
- Follow up on assigned project actions and provide updates to the Project Officer.
- Maintain an up-to-date calendar of project activities, milestones, and deliverables.
- Coordinate with internal departments and external partners involved in project implementation.
- Support the preparation of project correspondence, briefs, presentations, and reports.
- Maintain project trackers and regularly update progress against agreed milestones.
- Support the collection and documentation of project performance data and evidence.
- Assist in preparing documentation for project reviews and evaluations.
- Facilitate communication and coordination among project teams, hospital departments, and stakeholders.
- Assist in organizing stakeholder meetings and engagements.
- Provide timely communication regarding project activities and meeting arrangements.
- Follow up on procurement requests, deliveries, and other project requirements.
- Liaise with relevant departments to ensure timely resource availability.
- Assist in identifying and documenting project risks, issues, dependencies, and constraints.
- Maintain the project risk and issues register.
- Follow up on agreed mitigation and corrective actions.
- Escalate significant risks, delays, or challenges to the Project Officer.
- Assist in monitoring project deliverables to ensure they meet agreed requirements.
- Support project reviews and continuous improvement activities.
- Ensure project records and processes comply with accountability and audit requirements.
- Undertake research and gather information for project planning and decision-making.
- Perform other duties relevant to the role as assigned by the supervisor.
Requirements
- Bachelor’s degree in Project Management, Healthcare Management, Business Administration, Public Health, Health Systems Management, or a related field.
- A Diploma or relevant professional qualification in Project Management will be an added advantage.
- Training or certification in Project Management such as CAPM, PRINCE2 Foundation, PMP, or equivalent will be an added advantage.
- Minimum of 2–3 years’ relevant experience in project administration, coordination, healthcare programs, development projects, or a related field.
- Experience working in a healthcare, NGO, faith-based, or institutional environment will be an added advantage.
- Demonstrated experience in project documentation, reporting, coordination, and stakeholder engagement.
