Procurement Officer

HACO Industries (Kenya) Limited, founded in 1970, is a manufacturing company based in Nairobi, Kenya, focused on keeping its supply chain running efficiently.

This is a hands-on, high-volume operational role supporting the Procurement & Supply Chain function during a period of sustained growth. The position goes beyond transactional purchasing to drive value creation, support new product development, mitigate supply risk, and advance the company's sustainability agenda. The Procurement Officer reports directly to the Senior Procurement Manager.

1. Convert purchase requisitions into accurate purchase orders within agreed turnaround times, proactively following up to prevent approval delays.
2. Monitor supplier delivery lead times and escalate issues early to prevent production delays and stock-outs.
3. Coordinate with suppliers and service providers on order confirmations, delivery schedules, and account matters, maintaining accurate supplier records.
4. Prepare and track import/clearance documentation, coordinating with clearing agents to avoid delays and demurrage.
5. Ensure accuracy of supplier invoices, Goods Receipt Notes (GRNs), and supporting documentation to enable seamless payment processing.
6. Coordinate with Finance to maintain accurate records of financial commitments and accruals.
7. Support new product development (NPD) and supply continuity work by helping secure raw material availability.
8. Contribute clean, timely data to monthly procurement reporting, including spend, stock, and supplier performance.
9. Maintain audit-ready documentation across all procurement activities, adhering to Haco’s procurement policy and ethical sourcing standards.

1. Bachelor’s Degree in Procurement, Supply Chain, Business, or a related field.
2. Minimum 3–5 years of procurement experience, preferably in FMCG or manufacturing.
3. Solid understanding of category management, contract administration, and supplier performance management.
4. Working knowledge of ERP systems (SAP or Sage X3) and MS Excel (pivot tables, spend dashboards).
5. Membership in the Kenya Institute of Supplies Management (KISM) or CIPS qualification (Level 4 and above), or any recognized additional procurement and supply chain certification will be an added advantage.
6. Strong numerical skills for negotiation, cost breakdown, and benchmarking.
7. Solid understanding of procurement policies, ethics, and audit readiness.
8. Awareness of supplier ESG standards and Haco’s sustainability agenda, with the ability to evaluate and integrate supplier ESG performance.
9. Ability to thrive in a dynamic, fast-paced environment and support the organization’s transformation journey.

11. Strong attention to detail and proactive follow-through, chasing open items rather than waiting to be asked.
