Job Description
The Supervisor for Payments, Trade & TBO is responsible for ensuring all transactions related to payments, trade, and Treasury Back Office operations are processed efficiently and accurately, strictly following established bank policies and procedures. This includes safeguarding the bank's revenue by ensuring full collection of commissions and preventing financial losses from fraudulent activities. The role also focuses on delivering high-quality customer service, resolving complaints promptly, and maintaining clear communication with both internal and external clients. Operational excellence is key, involving contract settlements, Nostro account reconciliation, accurate processing in swift and core banking systems, managing FX rates, preparing regulatory reports, and ensuring proper handling of title documents and compliance checks. The supervisor also plays a critical role in risk management, ensuring document safekeeping, minimizing errors, and adhering to regulatory requirements like Anti-Money Laundering (AML) and Central Bank of Kenya (CBK) guidelines. Additionally, the role involves continuous learning, supporting team development, and contributing to change initiatives within the department.
Key Responsibilities
- Ensure 100% revenue collection for all payment, trade, and TBO products.
- Process all payment, trade, and TBO finance transactions accurately and collect associated commissions.
- Prevent financial losses by eliminating fraudulent transactions.
- Provide high-quality service to clients within agreed Service Level Agreements (SLAs).
- Resolve customer complaints within the stipulated Turnaround Time (TAT).
- Maintain high-quality communication with internal and external clients.
- Take ownership of queries, offer constructive suggestions, and resolve issues while protecting the bank's reputation.
- Confirm, monitor contract settlements, and reconcile entries for receipts and payments.
- Reconcile Nostro accounts.
- Process all payments, trade, and TBO contracts and related transactions accurately in the swift and core banking system.
- Ensure proper maintenance of opening and closing FX rates.
- Prepare and submit regulatory reports on time.
- Handle all title documents according to bank procedures and under dual control.
- Conduct all necessary due diligence checks for compliance.
- Perform deal confirmation matching.
- Coordinate with other departments for smooth and timely execution of client instructions.
- Resolve and analyze queries.
- Prepare audit reports for counterparties.
- Ensure safekeeping of all payments, trade, and TBO documents within the department.
- Minimize errors by ensuring accuracy in deal capturing in swift and core banking systems.
- Ensure departmental compliance with local and external regulatory requirements (e.g., Anti-Money Laundering, US sanctions, CBK guidelines).
- Carry out and submit monthly reconciliation schedules and risk attestations.
- Execute any other duties allocated by senior management.
- Stay informed and relevant by keeping up with departmental developments.
- Support the team leader to ensure effective teamwork across the payment, trade, and TBO functions.
- Support and adopt the implementation of change initiatives.
- Provide suggestions for improvements and solutions to the line manager.
- Continuously seek opportunities to develop personal skills and expand knowledge.
- Obtain constant feedback on personal development from line manager and team leaders.
- Train and develop backups within the department to ensure business continuity.
Requirements
- Bachelor’s degree in a business-related course.
- Proficiency in computer packages, including MS Word and Excel.
- Demonstrated accuracy and attention to detail.
- Ability to work effectively under pressure.
- Capability to meet specified deadlines to contribute to organizational goals.
- Excellent communication skills.
- Working experience in banking and operations, with an added advantage for experience in payments, trade, and TBO.
- Professional qualifications such as ACI Operations, Trade CDCS, CSDG are an added advantage.
