Job Description
Ability Trust is seeking a Finance Officer to manage financial records, process payments, and ensure compliance with donor agreements and statutory requirements. The role involves financial management, budgeting, donor compliance, and cross-departmental coordination.
Key Responsibilities
- Maintain accurate financial records and accounting systems
- Process payments, invoices, petty cash, advances, and reimbursements
- Prepare payroll vouchers and support documentation
- Conduct monthly bank reconciliations and ledger reviews
- Monitor expenditures against approved budgets and workplans
- Prepare cash flow projections and expenditure analysis reports
- Support asset register management and inventory tracking
- Support annual, quarterly, and project budgeting
- Prepare budget monitoring reports and variance analyses
- Support financial forecasting and cashflow planning
- Provide financial analysis for management decision-making
- Track donor grants and expenditure trends
- Support budget revisions and donor budget realignments
- Prepare donor financial reports and supporting schedules
- Ensure expenditures comply with donor agreements and procedures
- Maintain organized grant files and verification documentation
- Work closely with MEL teams for financial reporting alignment
- Support proposal budgeting and financial planning
- Ensure timely remittance and filing of PAYE, Withholding Tax, NHIF, NSSF, Housing Levy, VAT where applicable
- Maintain compliance with statutory and donor requirements
- Support internal and external audits
- Prepare audit schedules and supporting documentation
- Ensure procurement and payment processes comply with policy
- Identify financial risks and compliance concerns
- Maintain proper financial filing systems
- Ensure confidentiality and data security
- Maintain accurate procurement and contract documentation
- Collaborate with program, operations, legal, MEL, ICT, and communications teams
- Participate in work planning, procurement planning, and organizational reporting
- Maintain high standards of integrity and accountability
- Ensure ethical financial management and confidentiality
- Report suspected fraud or misuse of resources
Requirements
- Bachelor’s degree in Finance, Accounting, Commerce, Business Administration, or related field
- CPA-K certification required
- Minimum 3 years’ experience in finance/accounting
- Experience managing donor-funded grants and financial reporting
- Strong understanding of NGO financial procedures
- Experience with grant compliance and donor regulations
- NGO experience is an added advantage
- Proficiency in QuickBooks and computerized accounting systems
- Strong Microsoft Excel and financial analysis skills
- Budgeting and forecasting abilities
- Knowledge of donor reporting requirements
- Understanding of payroll management and statutory compliance
- Strong communication and interpersonal skills
- Excellent analytical and problem-solving abilities
- High integrity and professionalism
- Ability to work independently and in a fast-paced environment
