Job Description

Ability Trust is seeking a Finance Officer to manage financial records, process payments, and ensure compliance with donor agreements and statutory requirements. The role involves financial management, budgeting, donor compliance, and cross-departmental coordination.

Key Responsibilities

  1. Maintain accurate financial records and accounting systems
  2. Process payments, invoices, petty cash, advances, and reimbursements
  3. Prepare payroll vouchers and support documentation
  4. Conduct monthly bank reconciliations and ledger reviews
  5. Monitor expenditures against approved budgets and workplans
  6. Prepare cash flow projections and expenditure analysis reports
  7. Support asset register management and inventory tracking
  8. Support annual, quarterly, and project budgeting
  9. Prepare budget monitoring reports and variance analyses
  10. Support financial forecasting and cashflow planning
  11. Provide financial analysis for management decision-making
  12. Track donor grants and expenditure trends
  13. Support budget revisions and donor budget realignments
  14. Prepare donor financial reports and supporting schedules
  15. Ensure expenditures comply with donor agreements and procedures
  16. Maintain organized grant files and verification documentation
  17. Work closely with MEL teams for financial reporting alignment
  18. Support proposal budgeting and financial planning
  19. Ensure timely remittance and filing of PAYE, Withholding Tax, NHIF, NSSF, Housing Levy, VAT where applicable
  20. Maintain compliance with statutory and donor requirements
  21. Support internal and external audits
  22. Prepare audit schedules and supporting documentation
  23. Ensure procurement and payment processes comply with policy
  24. Identify financial risks and compliance concerns
  25. Maintain proper financial filing systems
  26. Ensure confidentiality and data security
  27. Maintain accurate procurement and contract documentation
  28. Collaborate with program, operations, legal, MEL, ICT, and communications teams
  29. Participate in work planning, procurement planning, and organizational reporting
  30. Maintain high standards of integrity and accountability
  31. Ensure ethical financial management and confidentiality
  32. Report suspected fraud or misuse of resources

Requirements

  1. Bachelor’s degree in Finance, Accounting, Commerce, Business Administration, or related field
  2. CPA-K certification required
  3. Minimum 3 years’ experience in finance/accounting
  4. Experience managing donor-funded grants and financial reporting
  5. Strong understanding of NGO financial procedures
  6. Experience with grant compliance and donor regulations
  7. NGO experience is an added advantage
  8. Proficiency in QuickBooks and computerized accounting systems
  9. Strong Microsoft Excel and financial analysis skills
  10. Budgeting and forecasting abilities
  11. Knowledge of donor reporting requirements
  12. Understanding of payroll management and statutory compliance
  13. Strong communication and interpersonal skills
  14. Excellent analytical and problem-solving abilities
  15. High integrity and professionalism
  16. Ability to work independently and in a fast-paced environment
