Job Description
The Operations Officer will play a crucial role in managing forwarding operations, ensuring smooth customs clearance, efficient shipping processes, and effective coordination with port authorities and transporters. The role involves meticulous documentation, timely follow-ups, and adherence to regulatory requirements to facilitate the swift movement of goods. The officer will also be responsible for generating regular reports and ensuring high levels of integrity and safety in all daily activities.
Key Responsibilities
- Lodge bond vouchers and follow up on their status.
- Process necessary permits from regulatory bodies for documentation.
- Conduct physical verification and secure release of shipments with all relevant authorities.
- Coordinate with appointed transporters for safe loading of shipments.
- Follow up on the perfection and settlement of customs entries.
- Monitor vessel Estimated Times of Arrival (ETAs) and Estimated Times of Departure (ETDs.
- Collect shipping line invoices and ensure timely payments.
- Process delivery orders with shipping lines.
- Manage applications and reconcile shipping line deposits.
- Oversee customs clearance, verification, and loading of goods at KPA/CFS.
- Lodge files for both import and export shipments.
- Track cargo for onward forwarding.
- Ensure pre-alerts for all forwarding shipments are sent before cargo reaches the consignee.
- Endorse entries for bond cancellation after airlifting.
- Liaise with airlines/shipping lines to request manifests for entry registration.
- Handle booking, loading, and exiting of trucks at ports/CFSs.
- Process, tally, and manage gate passes and Logistics IDs for bulk shipments at the port.
- Participate in meetings as required.
- Generate weekly and monthly reports for management.
Requirements
- Professional qualification such as EACFFPC or a Diploma in Clearing & Forwarding or Maritime Studies.
- Proficiency in customs declaration procedures.
- Thorough understanding of all customs procedures.
- Minimum of 2 years of progressive experience in clearing and forwarding.
- Ability to work effectively as a team player.
- Demonstrated honesty and high integrity.
- Capacity to work with minimal supervision.
- Strong punctuality and time management skills.
- Excellent communication skills.
