Job Description
This role involves assisting the Programs and Project Managers with the planning, coordination, governance, and monitoring of both client projects and internal programs. The Project Assistant will be responsible for maintaining accurate project records, tracking commitments and delivery progress, coordinating project-related forums, and supporting timely reporting and stakeholder follow-up. The position aims to enhance project visibility, ensure audit readiness, improve documentation quality, and boost operational efficiency across the entire project portfolio.
Key Responsibilities
- Support the daily coordination of assigned projects and programs from their initiation to closure.
- Maintain various project documents including schedules, milestone trackers, action registers, risk and issue trackers, task lists, and delivery calendars.
- Coordinate project meetings, which includes sending invitations, preparing agendas, compiling supporting documents, taking minutes, recording decisions, identifying action owners, and setting due dates.
- Follow up with internal teams, customers, partners, and vendors on agreed actions, dependencies, approvals, and deadlines.
- Prepare draft weekly, monthly, milestone-based, and executive project status reports for review.
- Ensure project records are well-organized and maintained in SharePoint, Teams, and other approved CPS repositories.
- Assist in the preparation and administration of project plans, Statements of Work, readiness assessments, migration schedules, communication plans, change requests, closure reports, and project completion evidence.
- Track project deliverables, resource allocations, customer approvals, completion evidence, and portfolio-level updates.
- Support Microsoft-funded engagements, including voucher tracking, program milestones, customer engagement records, and related delivery evidence.
- Help maintain project management templates, checklists, trackers, standard operating procedures, and lessons learned.
Requirements
- A Bachelor’s degree in project management, Business Administration, Information Technology, Management Information Systems, or a related field.
- 1-4 years of experience in project administration, project coordination, PMO support, operations coordination, or IT project delivery.
- Working knowledge of project schedules, status reporting, risk and issue tracking, action tracking, document control, and project governance support.
- Proficiency in Microsoft Word, Excel, PowerPoint, Outlook, Teams, SharePoint, and Planner.
- Strong written and verbal communication skills, with the ability to prepare clear project records and reports.
- Excellent organization, prioritization, time management, and follow-through abilities.
- High attention to detail and the capacity to maintain accurate records across multiple concurrent projects.
- Experience supporting technology project environments, such as Microsoft 365, cloud, cybersecurity, migration, adoption, managed services, or digital transformation projects, is an advantage.
- CAPM, PRINCE2 Foundation, Agile Foundation, Scrum Fundamentals, or equivalent project management certification is an advantage. Microsoft Fundamentals certifications are also beneficial if supported by project delivery experience.
