Job Description
The Project Admin Assistant is a senior-level support role, contributing individually to the facilities management team. The primary objective is to help maintain Church facilities, ensuring they offer a spiritual environment for members to worship and learn, while also presenting a dignified image in the community. This involves assisting the Facilities Manager with timely maintenance, repairs, and replacements, adhering to established processes and standards. The role also includes providing comprehensive administrative support to the facilities management workgroup.
Key Responsibilities
- Lead lower-level employees through training, mentorship, and daily direction.
- Proactively anticipate future needs and provide recommendations.
- Coordinate project details and follow up on pending tasks to ensure deadlines are met.
- Assist with budget preparation and control, including monitoring project or department budgets.
- Conduct research, analyze information, and make recommendations based on findings.
- Compile complex data from various sources to prepare memos, documents, reports, spreadsheets, and presentations.
- Take meeting minutes and manage meeting documentation.
- Use computer applications to schedule meetings, appointments, and maintain calendars for multiple leaders.
- Manage assigned leader's email inboxes to an agreed level.
- Make travel arrangements.
- Present information at meetings.
- Support office resiliency operations and emergency response.
- Plan, organize, and execute large meetings, conferences, and other events.
- Respond to complex telephone and email requests.
- Perform other assigned duties.
Requirements
- Possess at least 3 years of relevant experience, or progress towards/completion of a relevant university degree, or an industry-recognized certification.
- Demonstrate diverse clerical experience, including proficiency in Windows, Microsoft Applications, and the ability to learn new software.
- Exhibit strong communication skills, including professional phone etiquette and effective business writing.
- Have basic business accounting skills, with an understanding of invoices, purchase orders, and contracts.
- Possess strong organizational skills, including filing, scheduling, time management, and prioritization.
- Be able to communicate effectively and courteously with all individuals, including priesthood leaders, managers, colleagues, and vendors.
- Show strong customer-oriented, results-oriented, adaptability, and flexibility skills.
- Have experience in account and payment management.
- Demonstrate results-oriented performance and flexibility to adapt to various situations.
- A recognized university degree, directly related experience, and applicable industry certifications are preferred.
- Capacity to communicate in English (sufficient for trainings and calls) is preferred.
- Power BI abilities to support facility manager group management are preferred.
- Proven knowledge of accounting and the local tax system is preferred.
