Job Description
The Procurement Officer will be responsible for coordinating all aspects of international procurement, including managing import orders, handling shipping documentation, ensuring compliance with regulatory requirements, and overseeing customs clearance processes. This role is crucial for ensuring the efficient and timely delivery of goods while adhering to all relevant regulations and maintaining comprehensive records.
Key Responsibilities
- Coordinate import orders, including proforma invoices, purchase orders, shipment schedules, and supplier follow-ups.
- Review commercial invoices, packing lists, Bills of Lading, Air Waybills, Certificates of Origin, and other shipping documents for accuracy.
- Manage Import Declaration Forms, import permits, and other necessary regulatory documentation required before shipment and customs clearance.
- Handle Duty Remission Scheme documentation, including approvals, utilization, reconciliations, and closure records.
- Coordinate with clearing agents, freight forwarders, shipping lines, transporters, suppliers, and internal departments.
- Monitor customs entries, duties, taxes, exemptions, bonds, and outstanding Kenya Revenue Authority matters.
- Track shipments and provide timely updates on expected departure and arrival dates, clearance status, delays, and delivery dates.
- Maintain comprehensive and audit-ready import records for Kenya Revenue Authority, Authorised Economic Operator, and post-clearance audits.
- Monitor clearing, freight, port, and transport costs to help prevent demurrage, detention, and storage charges.
Requirements
- A diploma or degree in Procurement, Supply Chain Management, Logistics, International Trade, or a related field.
- A minimum of three years of practical experience in procurement, imports, and customs clearance within Kenya.
- Strong working knowledge of the Duty Remission Scheme, Kenya Revenue Authority customs procedures, Import Declaration Forms, customs entries, and import documentation.
- Experience collaborating with clearing agents, freight forwarders, shipping lines, and regulatory authorities.
- Good understanding of International Commercial Terms (Incoterms), import lead times, and shipping documentation.
- Proficiency in enterprise resource planning (ERP) systems, Microsoft Excel, and other Microsoft Office applications.
- Excellent attention to detail, record management, communication, and follow-up skills.
- Experience in the chemical, agricultural, or another regulated industry is an added advantage.
