Job Description

The Assistant Project Manager will play a crucial role in managing projects related to laboratory, analytical, scientific, and specialized technical equipment. This involves reviewing detailed technical specifications, identifying compliant equipment, engaging with manufacturers, preparing comprehensive technical tender submissions, and coordinating effectively with clients and end-users. The role also encompasses managing awarded projects from inception through to successful completion, ensuring all aspects from sourcing to installation and handover are meticulously handled. This position is distinct from construction or site project management roles.

Key Responsibilities

  1. Review tender documents, Bills of Quantities, and detailed technical specifications.
  2. Interpret technical specifications to identify suitable and compliant equipment.
  3. Prepare detailed technical compliance schedules and tender responses.
  4. Conduct thorough product and manufacturer research for specialized equipment.
  5. Obtain quotations, datasheets, brochures, certifications, and authorization letters from manufacturers.
  6. Liaise directly with international and local manufacturers to clarify technical requirements.
  7. Assist in preparing complete technical and commercial tender submissions, ensuring accuracy and timely submission.
  8. Source suitable laboratory, scientific, and technical equipment globally.
  9. Evaluate equipment based on technical compliance, performance, quality, cost, warranty, and after-sales support.
  10. Prepare technical and commercial comparisons between different manufacturers and models.
  11. Develop a strong understanding of unfamiliar instruments and technologies quickly.
  12. Conduct meetings and negotiate with manufacturers and suppliers.
  13. Maintain and develop relationships with international equipment manufacturers and technical partners.
  14. Support the Project Manager in overseeing awarded equipment supply projects from contract award to final handover.
  15. Develop and monitor project schedules, procurement timelines, and deliverables.
  16. Coordinate manufacturer orders, technical approvals, shipping, delivery, installation, and commissioning.
  17. Liaise with internal departments such as Procurement, Finance, and Logistics.
  18. Maintain clear project trackers and ensure timely follow-up on outstanding activities.
  19. Monitor and promptly escalate project risks, delays, and technical issues.
  20. Ensure all contractual and technical deliverables are completed within required timelines.
  21. Coordinate and participate in the installation and commissioning of supplied equipment.
  22. Work with manufacturers and technical specialists during installation and commissioning, including coordinating factory engineers or international specialists.
  23. Assist in troubleshooting technical issues during project implementation.
  24. Support equipment demonstrations and end-user training.
  25. Ensure proper completion of installation, commissioning, training, and handover documentation.
  26. Identify new business opportunities within laboratories, universities, research institutions, government agencies, and industrial clients.
  27. Monitor upcoming tenders and procurement opportunities relevant to the division.
  28. Identify new manufacturers, technologies, and products for introduction into Kenyan and regional markets.
  29. Support the preparation of proposals, quotations, and presentations for prospective clients.
  30. Contribute towards departmental revenue and business development targets.

Requirements

  1. Bachelor’s Degree in Engineering, Applied Science, or a relevant technical discipline.
  2. Minimum of 4 years of relevant professional experience.
  3. Previous experience with laboratory equipment, scientific instruments, analytical instruments, technical equipment supply, or specialized engineering equipment is highly preferred.
  4. Proven experience in reviewing and interpreting detailed technical specifications.
  5. Experience in preparing tenders and technical compliance documents.
  6. Experience dealing directly with manufacturers and suppliers.
  7. Experience in sourcing specialized technical equipment locally or internationally.
  8. Experience managing equipment supply projects from the tender stage through delivery, installation, and handover.
  9. Strong client-facing and stakeholder-management experience.
  10. Experience with government, university, research institution, or institutional procurement is an advantage.
