Job Description

This role acts as the operational and strategic core supporting the Managing Director and a small team, integrating process management, scheduling, communications, fund governance, stakeholder access, and rigorous follow-through. Ideal candidates will have backgrounds in senior executive support, fund operations, governance, investor relations, business operations, or management consulting. Key attributes include learning agility, discretion, reliable execution, and a humble, hands-on approach, prioritizing these over a conventional career path.

Key Responsibilities

  1. Manage a high-performing executive office, encompassing administration, fund operations, governance, investor engagement, and follow-through.
  2. Enable the Managing Director to concentrate on capital raising, portfolio relationships, and strategic investment decisions.
  3. Expertly handle diary management, inbox organization, correspondence, and meeting preparation with exceptional discipline.
  4. Cultivate relationships with investor offices and executive-support counterparts to secure and coordinate valuable engagements.
  5. Oversee fund-governance and company-secretarial workflows in collaboration with the fund administrator.
  6. Ensure timely progress on board resolutions, meeting cycles, materials, records, actions, and deadlines.
  7. Translate fund objectives into coordinated priorities and actionable workflows.
  8. Drive decisions, commitments, and team activities forward.
  9. Act on behalf of the Managing Director when appropriate and escalate issues requiring executive input.
  10. Maintain institutional memory through concise briefings, communications, meeting notes, decision and action logs, and decision-support materials.
  11. Foster trusted relationships with board members, investors, funders, investees, partners, and executive-office stakeholders.

Requirements

  1. Proven track record in senior executive support, business partnering, fund operations, governance, company secretarial, investor relations, business operations, or management consulting for senior leaders.
  2. Demonstrated success in operating independently as a trusted extension of a senior principal.
  3. Ability to anticipate needs, manage competing priorities and confidential matters, and progress work with sound judgment and minimal supervision.
  4. Experience coordinating complex multi-stakeholder workstreams and ensuring decisions, actions, and deadlines are met.
  5. Exposure to governance practices is beneficial.
  6. Credible engagement across board, investor, funder, investee, partner, and executive-office stakeholders.
  7. Skill in securing meetings and advancing priorities with judgment and persistence.
  8. Investment or development finance exposure is preferred but not mandatory.
  9. Evidence of success in a lean, high-trust work environment.
  10. Capacity to quickly learn unfamiliar subject matter, structure ambiguity into practical solutions, and remain closely involved in execution rather than solely advising.
  11. Strong executive-office systems proficiency for scheduling, inboxes, correspondence, meeting preparation, records, and confidential information.
  12. Ability to rapidly learn fund operations.
  13. Capability to coordinate governance workflows, including board and company-secretarial processes, resolutions, fund administrators, and investor offices.
  14. High digital fluency across document, presentation, spreadsheet, collaboration, and task-management tools.
  15. Proficiency in producing executive materials, maintaining accurate trackers, and quickly adopting new systems.
  16. Peer-level judgment and autonomy.
  17. Ability to interpret context, anticipate needs, act independently, consult appropriately, and escalate only when executive input is essential.
  18. Exceptional discretion and integrity in handling confidential personal, commercial, investor, and portfolio matters.
  19. A humble, hands-on working style.
  20. Genuine eagerness to learn.
  21. Comfort in managing diary and inbox details, resolving process gaps, and coordinating senior-level work.
  22. Clear, concise, and relationship-oriented communication skills.
  23. Confidence in engaging senior stakeholders.
  24. Tact and persistence to influence without direct authority and build alignment.
