Job Description
African Women in Agricultural Research and Development (AWARD), hosted by World Agroforestry (ICRAF) in Nairobi, Kenya, aims to drive transformative change through gender-responsive solutions for equitable agri-food systems. The organization focuses on investing in women's leadership, integrating gender into agricultural research and development (AR4D), strengthening institutions with gender-responsive policies, and enhancing the enabling environment for gender responsiveness. This role provides crucial support to Senior Training Officers in coordinating AWARD’s virtual and in-person courses, ensuring the seamless planning, high-quality delivery, and effective follow-up of all training activities and specific deliverables.
Key Responsibilities
- Plan, schedule, and execute courses according to the AWARD workplan.
- Prepare course materials adhering to AWARD’s training standards.
- Outline and share training venue requirements with relevant units.
- Communicate effectively with participants regarding schedules, requirements, pre-course activities, and deadlines, monitoring their progress.
- Administer course assessments, track progress, and generate reports.
- Provide on-site support during training delivery, ensuring availability of tools and equipment and addressing needs of trainers and participants.
- Offer online technical support for virtual events, configuring features like breakout rooms, polls, and interpretation channels.
- Orient trainers, staff, and participants on virtual delivery tools and best practices.
- Maintain accurate records of training attendance, completion, and evaluation reports.
- Attend inter-unit meetings related to training deliveries.
- Participate in planning and designing curriculum for in-person and virtual AWARD courses.
- Collaborate with subject matter experts to design, develop, review, and update course curriculum and content.
- Develop learning modules that integrate synchronous and asynchronous components.
- Integrate inclusive and accessible learning practices into course design.
- Create pre-course and post-course learning activities to extend learning.
- Develop facilitator guides, learner guides, workbooks, and session plans for various delivery modes.
- Ensure content is optimized for the Learning Management System (LMS).
- Review and update existing curricula for relevance, quality, and alignment with trends and standards.
- Recommend and incorporate digital learning tools to enhance engagement.
- Manage contracts and terms of reference for AWARD Trainers and resource persons in compliance with guidelines.
- Support the recruitment and onboarding of trainers and resource persons.
- Maintain and update a database of trainers, their expertise, and qualifications.
- Participate in allocating trainers to various training activities.
- Help prepare training budgets for trainers, materials, and tools.
- Assist in drafting, reviewing, and processing trainer contracts and service agreements.
- Ensure all trainer contracts are signed and filed.
- Track contract timelines, expiration dates, and renewals.
- Ensure compliance with HR, procurement, or donor requirements.
- Maintain records of trainer payments and provide documentation to Finance.
- Ensure trainers receive briefs, programs, materials, and logistical support.
- Attend and provide feedback during post-session debriefs with trainers.
- Manage knowledge for AWARD training courses, content, resources, tools, and the Learning Community Portal.
- Ensure physical and digital learning resources are filed and accessible.
- Support the development and maintenance of vibrant learning resource repositories.
- Assist in collecting, organizing, and categorizing training materials and reports.
- Ensure consistency, quality, and accuracy of information in knowledge systems.
- Gather reports, analyze participant and facilitator feedback, and share with relevant units.
- Ensure virtual learning platforms and digital collaboration tools are updated and accessible.
- Assist with analyzing learning portal usage and identifying improvement areas.
- Provide staff support in accessing training-related materials.
- Support the development, administration, and follow-up of pre and post-training activities.
- Customize existing pre-course activities and communicate them to participants.
- Administer assessment tests and surveys.
- Generate and disseminate reports/feedback.
- Follow up on participants’ post-training requirements/expected outputs.
- Conduct periodic curriculum reviews based on feedback, analytics, and priorities for continuous improvement.
- Review training materials for consistency, instructional quality, branding, and accessibility.
- Maintain cordial working relationships with partner institutions, development partners, and stakeholders.
- Assist in facilitating communication between training partners, participants, and AWARD.
- Schedule and document meetings with stakeholders.
- Follow up on action items and requests from participants, trainers, and stakeholders.
- Maintain a contact database of key stakeholders and partners.
- Prepare formal congratulatory messages to alumni and stakeholders for milestones.
- Follow up on disputes or complaints from participants and trainers, ensuring they are addressed.
Requirements
- Master’s degree in education, training and development, or a related field.
- At least 5 years of progressive experience in capacity development and managing training programs, preferably in an international or regional organization.
- Professional certification in virtual facilitation, learning technologies, or e-learning instructional design.
- Demonstrated experience providing technical support in virtual and blended learning using digital learning technologies and learner engagement techniques.
- Experience administering a Learning Management System (LMS).
- Experience providing technical support during live online events.
- Working knowledge of the French language is an added advantage.
- Ability to manage and lead hybrid teams.
- Expertise and experience in delivering training or capacity development interventions on gender-responsive approaches in agrifood systems is an added advantage.
